Candidate privacy and AI interview notice

ACI Atlanta uses Kestrel, an automated employment decision tool, to conduct first-round job interviews by voice and text chat. This notice explains what the tool does, what it evaluates, how a human is involved, how long we keep your data, and your rights. It is written to meet the Illinois Artificial Intelligence Video Interview Act, New York City Local Law 144, the Colorado Artificial Intelligence Act, and similar laws, wherever you live.

What the AI does

  • Asks you interview questions and follow-ups about your experience, skills and how you would handle situations relevant to the role.
  • Transcribes what you say (voice) or reads what you type (chat), and produces a written scorecard for the hiring team.
  • Parses your resume into a structured summary and notes things worth asking about (for example a gap between jobs). Nothing about your resume is used to reject you automatically.

What is evaluated

Only the content of your answers, scored against a published rubric for each competency of the role (for example: problem solving, tools knowledge, communication). Each score cites the exact words it is based on. The tool does not analyze your face, voice tone, accent, emotions, personality, or any protected characteristic, and it is designed not to ask about any protected characteristic.

Human review

No candidate is declined by the AI. A person on the ACI Atlanta hiring team reads the transcript and the scorecard and makes every decision. You may request an alternative, human-conducted interview or an accommodation at any time by writing to privacy@aciatlanta.com; asking will not count against you. You can also switch from voice to text chat at any moment during the interview.

Consent and recording

Before any question you are told that the interviewer is an AI and, for voice, that the call is recorded and transcribed. You can decline, and the interview stops. Your consent is logged with the time you gave it.

Data we collect

  • Application: name, email, phone, location, work authorization, resume, portfolio links, answers to role questions.
  • Interview: transcript, voice recording (voice interviews only), scorecard, and integrity signals such as copy-paste events or tab switches. Integrity signals are shown to the reviewer as information only; they never decide anything.
  • Voluntary self-identification (gender, race/ethnicity, disability, veteran status) if you choose to give it. It is stored separately, used only in aggregate to check for adverse impact, and never shown to anyone reviewing your application.

Bias audit and fairness

The scoring model is tested for score differences across demographic groups using synthetic candidates whose names, locations and universities are swapped; results are available on request. Self-identified demographics you provide are used only for this monitoring.

Retention and deletion

We keep application and interview data for 12 months after your last activity, then delete it. Voice recordings are deleted within 30 days of a written deletion request, as Illinois law requires. You may request deletion or a copy of your data at any time through the link at the bottom of this page or by writing to privacy@aciatlanta.com. Deletion requests are verified by email and completed by the hiring team.

Sharing

Your data is processed by Kestrel on behalf of ACI Atlanta and is stored with our cloud, speech-to-text and language-model providers under contracts that prohibit any other use. It is not sold and is not shared with other employers.

Your rights

  • Know what data we hold and receive a copy.
  • Correct inaccurate data.
  • Delete your data.
  • Request a human-conducted interview or an accommodation instead of the AI interview.
  • Appeal a decision by contacting the hiring team; a person will review it.
